Visibility of critical maintenance issues

Neptune Energy Germany uses OpenText Content Suite to manage all maintenance-related documents, with an interface to IBM Maximo (also a solution provided by Cardtrend) Computerized Maintenance Management System. This provides an up-to-date and complete single point of truth set of documentation. The interface enables users to access business critical documents in a single view, regardless of which system the information was stored in.

Neptune Energy Germany developed a clear strategy to manage technical documentation, supported by a 1:1 relation between objects in Maximo and structures in Content Suite. In the second phase the team integrated transactional objects, including maintenance service requests and work orders. They also automated processes, improving work order preparation and processing and compliance, usability, and security.

“We used to have an awful lot of paper documentation,” explained Graf-Thiel. “This interface is a huge step in the right direction. If I need to find documentation for a specific pump, I can find it directly and digitally. Previously, I would have had to get in my car, drive there, find the cupboard, then find the exact folder.”

The OpenText Content SuiteIBM Maximo interface project is part of a wider initiative to digitize maintenance management at Neptune Energy Germany.

Based in Mumbai, India, Nayara Energy is a new-age downstream energy and petrochemicals company with a strong presence across the hydrocarbon value chain from refining to retail. The company owns and operates India’s second-largest single-site refinery, one of the world’s most modern and complex refineries. The company also has India’s largest and fastest growing private retail network with more than 6,000 fuel stations across India.

Nayara Energy transforms accounts payable processes with OpenText invoice solutions. Indian energy company automates invoice processing with OpenText Vendor Invoice Management for SAP Solutions to increase efficiency and accelerate turnaround time.

The company’s AP challenges included the lack of a standardized process for receiving, capturing, and processing invoices from vendors, making it difficult to track the status of invoices in a timely manner. The AP team would lose valuable time manually tracking invoices and managing payment approvals. In addition, invoices had to be checked manually to ensure accuracy and compliance before they could be posted to the company’s SAP system. The many cumbersome and time-consuming manual processes increased the risk of errors that could lead to costly delays. Further, the inefficiency negatively impacted vendor relations and also made it difficult to generate accurate and timely reports on AP performance.

A dedicated team was formed with employees from both IT and Finance to lead the vendor invoice automation project.
